Business trip: how to request and compare quotes

Corporate recommends sending one standard request for business trips, stating the group, the dates, the services and the budget range, and comparing the quotes against a fixed grid. This makes differences in services, deadlines and cancellation rules visible.

Schritt für Schritt

  1. Summarise your requirements in a one-page request template.
  2. Ask two or three providers or variants, using an identical template.
  3. Set a deadline for replies and collect queries in one place.
  4. Transfer the quotes into a comparison grid: services, price, deadlines, cancellation.
  5. Clarify open points with the provider and ask for improvements.
  6. Prepare a decision paper for management.
  7. Confirm acceptance in writing and enter the deadlines in the calendar.

Checkliste

  • Request template drawn up with group, dates and goals
  • Same request sent to all providers
  • Reply deadline set
  • Included and excluded services compared
  • Cancellation rules and payment plan checked
  • Validity period of the quote noted
  • Decision paper for management prepared
  • Acceptance confirmed in writing

Quotes for a business trip are only comparable if every provider receives the same request and is assessed against the same grid. This article shows how to write a clean request, review the quotes and prepare a decision paper for management.

What belongs in a good request?

A good request is short and complete. It states the purpose, the number of participants, the preferred dates with alternatives, the duration, the departure point, accommodation wishes, the rooms needed and the supporting programme. The budget range belongs in it too, so that providers can make suitable proposals.

Also state what you expect: a concrete quote, several variants or just an outline of ideas. This saves queries. Give the date by which you will decide and name your contact person. Add details of payment terms and the cancellation conditions you would like, so that these points do not only come up after you have accepted.

A standard template has a further advantage. If you make another request after three months, you can see at once which assumptions applied and record changes in a targeted way.

How many quotes do you need?

For a larger event, two or three quotes are worthwhile. More rarely adds insight, because the effort of comparing grows. Choose providers that differ in approach or region, so that the comparison adds value.

For small events, one quote is often enough, which you check against your list of requirements. The effort of several offers is then out of proportion to the event.

Decide in advance whether price alone counts, or also experience, accessibility and flexibility when things change. This weighting belongs in the grid before the quotes arrive, otherwise it gets bent into shape afterwards. An example: if flexibility on participant numbers matters more than the last franc, the grid should explicitly reward that quality.

How do you compare quotes cleanly?

Transfer each quote into the same grid. The columns are the providers, the rows are the services: accommodation, catering, room and technology, transfers, programme, support, insurance, fees. Mark what is included, what is missing and what is optional.

Watch for details that change the price. These include drinks, tips, use of the room in the evening, luggage transport or cleaning. Prices vary by season and category, and a cheap quote can end up costing more if many items are missing.

Also check whether the quotes are based on the same room category, the same location and the same times. Without this basis the comparison is worthless.

Which contract points do you check before accepting?

Read the cancellation rules, the payment plan, the deadlines for name lists and the validity of the quote. Clarify until when participant numbers can be adjusted free of charge and what applies if the date is postponed.

Ask about liability if services fail, about insurance options and about the general terms and conditions. Legal assessment is a matter for your legal department, tax questions for your fiduciary.

Have commitments confirmed in writing. Verbal agreements made by phone are hard to trace later and get lost when staff change.

What does a decision paper look like?

Management does not need twenty pages. One page is enough: goal, comparison of variants in a few lines, recommendation with reasons, budget range, risks and next steps. An appendix contains the full quotes.

State open points openly. If a question on tax or law is still unanswered, it goes in the paper with the person responsible and a date. This builds trust in the process.

Plan the communication after the decision: who informs the providers, who informs the team, who manages the documents. A consultation by video call helps to put the comparison in context.

Which mistakes do you avoid when requesting quotes?

A common mistake is requesting too late. If you only collect quotes shortly before the desired date, you have no room for queries and improvements and end up accepting the first quote that comes. Allow several weeks for the request, the replies and the comparison.

A second mistake is comparing on the total price alone. Two quotes with the same amount can be very different if one includes transfers, catering and support and the other does not. The comparison grid makes these differences visible and prevents gut decisions.

Third, documentation is often missing. If nobody knows after the decision why a provider was chosen, discussions arise. Store the request, the grid, the decision paper and the acceptance in one shared place, so that deputies can also follow the status.

Häufige Fragen

How many quotes should you request for a business trip?

Two or three for larger events. What matters is that all are based on the same request, otherwise they cannot be compared.

What must a request contain?

Purpose, number of participants, dates, duration, departure point, accommodation, rooms, supporting programme and budget range. Add a deadline for replies.

Why do quotes differ so much?

Often they are based on different services, categories or seasonal assumptions. A grid shows where the differences lie.

How long is a quote valid?

The provider sets this and states it in the quote. Note the deadline and plan your decision accordingly.

Who decides on the selection?

Usually management, prepared by HR or office management. A one-page paper makes the decision easier.

Can Swiss Vibes help with the comparison?

Yes, in a consultation by video call. Begin with the Corporate planning page.
